FAQ's
Does my vendor have to pay Chptr?
No. Vendors can be added to Chptr as Your Vendors at no cost. In that case, Chptr simply serves as the payment and workflow platform, making it easier to manage invoices, communication, and payment history in one place.
If a vendor becomes a Preferred Vendor or a Chptr Collective Partner, they enter into a deeper partnership with Chptr that may include pricing commitments, platform visibility, and rebate arrangements to Chptr. Regardless of classification, the goal is to create a more professional and reliable process for your organization.
How do I invite a vendor into Chptr?
It’s simple. You can bring a vendor into Chptr in three ways:
- Add their email address directly in Chptr
- Upload an invoice from that vendor
- Forward a bill to your organization’s custom Chptr email address
From there, our system begins the setup process.
What happens after I invite a vendor?
Once a vendor is submitted through Chptr, they will receive an email invitation to get set up. Our team may also follow up directly to answer questions and help guide them through the payment setup process.
Once setup is complete, your treasurer will be notified and able to pay that vendor through Chptr. The vendor will then remain in your organization’s vendor list for future use, creating a cleaner and more consistent process over time.
How will my vendor receive payment?
Vendors can choose the payment method that works best for them. In most cases, they can receive payment by ACH direct deposit or by mailed check if they prefer a physical payment.
What vendors will be in my vendor system?
Your vendor system may include three types of vendors:
Your Vendors are only visible to your organization and are made up of the vendors your chapter chooses to add.
Preferred Vendors are vetted partners featured within the Chptr platform and are generally visible to organizations using the system.
Chptr Collective Partners are Chptr’s highest-tier partners and represent best-in-class vendors that have gone through a more rigorous selection, pricing, and partnership process.
How does Chptr benefit vendors?

Chptr Collective Partners represent the highest level of partnership. These vendors have gone through a more competitive review and negotiation process and are selected because they lead their category in pricing, professionalism, and execution. Chptr also maintains a more active relationship with these partners through performance expectations, collaboration, and ongoing accountability.
Can a vendor move between classifications?
Yes. A vendor’s classification can change over time depending on the depth of their relationship with Chptr.
A vendor may begin as Your Vendor, become a Preferred Vendor as the partnership grows, or in certain categories become a Chptr Collective Partner if they meet the highest standards in service, pricing, and operational alignment.
Likewise, if a partner no longer aligns with the expectations of a higher classification, their status may be adjusted. This structure helps ensure that each vendor category continues to reflect the level of partnership and accountability behind it.
